Terms & Conditions

Introduction:
1.1 At Coffee Conversations LLC (“Coffee Conversations”), we utilize these Terms and Conditions to govern your use of our virtual consulting and/or coaching services, and website. By accessing, purchasing, or partaking in our services, you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions. If you do not agree with any part of these Terms and Conditions, please do not use our services.

Services
1.2 Our virtual coaching and/or consulting services are provided remotely, typically through video conferencing, phone calls, or other digital communication platforms. The specific details of the services, including the number of sessions, duration, and content, will be outlined in our agreement or as discussed.
1.3 “The Focused” is a 3-pack of 30-minute or 60-minute one-on-one sessions, which can be purchased upfront or individually per session. This goal-oriented program is tailored to address the specific needs and aspirations of participants, ensuring personalized guidance and support to help them navigate their early career journey. If paying by session, we hold a 2 session minimum expectation.
1.3.2 “The Classic” is an in-depth 3-month program consisting of 12+ sessions, encompassing a variety of formats such as small group discussions, big group discussions, one-on-one sessions with the Founder, and thought-leaders/expert talks. Spots for The Classic are secured by paying an upfront fee or by paying per month (first month due on commitment date). If you fail to pay the remaining balance on your monthly invoice, we will charge $20 each day the payment is delayed. If for any reason Coffee Conversations must cancel the selected cohort program before it ever begins, you will be fully refunded. 

 

Privacy Policy
1.4 At Coffee Conversations LLC (“Coffee Conversations”), we are committed to protecting your privacy and confidentiality. This policy explains how we collect, use, and protect your personal information. By using our services, you agree to the terms of this policy.

 

Information Collection and Use
2.1. Personal Information: We may collect your name, contact details, and other relevant information when you voluntarily provide it to us. This information is used for the purpose of signing up for our services, completing forms, or engaging with our website or communication channels.
2.2. Usage Data: Our technology and marketing partners may automatically collect non-personal information about your interaction with our website, such as your IP address, browser type, and pages viewed. This data helps us analyze trends and improve user experience.
2.3. Communication: We may use your personal information to communicate with you, respond to inquiries, provide services, and keep you informed about updates, promotions, and events. You can opt-out of receiving such communications at any time.

3.1. Service Providers: We may engage trusted third-party service providers to assist us in delivering our services. These providers have access to your personal information but are obligated to maintain its confidentiality.
3.2. Legal Compliance: We may disclose your personal information if required by law or in response to valid legal requests.
3.3. Consent: We will obtain your consent before sharing your personal information with any third parties not mentioned in this policy.

 

Data Security
4.1 We implement measures to protect the security and confidentiality of your personal information. However, no transmission or storage system can be guaranteed to be 100% secure.
4.2 In regards to Data Retention, we will retain your personal information for as long as necessary to fulfill the purposes outlined in this policy, unless a longer retention period is required or permitted by law.

 

Your Rights
5.1. Access and Correction: You have the right to access, review, and correct your personal information held by us.
5.2. Opt-Out: You can opt-out of receiving promotional emails or marketing communications from us.

 

Children's Privacy
6.1 Our services are not intended for individuals under the age of 18. We do not knowingly collect or solicit personal information from anyone under 18. By accessing our services, you represent and warrant that you meet the eligibility criteria.

 

Personal Responsibility
7.1 By participating in our consulting and/or coaching services, you acknowledge and agree to the assumption of risk, release of liability, personal responsibility, confidentiality, and compliance with laws outlined in the liability release statement. Our coaching services aim to support personal development and growth. However, it is important to understand that the coaching relationship does not constitute therapy, counseling, or professional advice. You are solely responsible for your own choices, actions, and decisions made during and after the coaching sessions. 
7.2 We have no guarantees – While we strive to provide effective coaching services, we make no guarantees regarding specific outcomes or results. Your progress and success depend on various factors, including your commitment, effort, and personal circumstances.

 

Intellectual Property
8.1 Ownership: All intellectual property rights related to our website, coaching materials, and content provided during the coaching sessions are the property of Coffee Conversations LLC (“Coffee Conversations”) or its licensors. We have worked to customize and strategically build Coffee Conversations, so we will hold you to this policy. You agree not to share, reproduce, modify, distribute, or exploit any intellectual property without explicit, written permission.
8.2 Client Materials: Any materials, documents, or information provided by you during the virtual sessions will be treated as confidential and used solely for the purpose of the coaching relationship. We will take reasonable measures to protect your confidentiality, except in cases where disclosure is required by law or there is a risk of harm. 

 

Payment and Refunds
9.1 Fees, Refunds, Cancellations: The fees for our virtual coaching and/or consulting services will be communicated to you prior to the commencement of the coaching relationship. Payment terms, including accepted methods of payment and billing cycles, will be outlined in our coaching agreement or as discussed. 
9.2 See “Program Outline” for specific client-paying details and/or refer to our Refund and Cancellation Policy.

 

Referral Policy
10.1 When a referral is successful for "The Focused," you have 2x options as a reward: 1x free 30-min session for you to utilize within 60-days, or 1x free 30-min session for your referral to utilize within 60-days. 
10.2 When a referral is successful for "The Classic," you have 2x options as a reward: 1x 60-min or 2x 30-min free sessions for you to utilize within 60-days, or 10% off of The Classic for you or your referral, honored for either up-front or monthly payment methods, and utilized within 6-months of commitment date to The Classic. 

 

Modification of Terms:
11.1 We reserve the right to modify or update these Terms and Conditions at any time. Any changes will be effective immediately upon posting on our website. 
11.2 It is your responsibility to review these Terms and Conditions periodically for any updates. Continued use of our services after the changes constitute your acceptance of the revised Terms and Conditions.

 

Governing Law and Jurisdiction:
12.1 These Terms and Conditions shall be governed by and construed in accordance with the laws of the United States, Idaho. Any disputes arising out of or in connection with these Terms and Conditions shall be subject to the exclusive.

 

Privacy Policy

At Coffee Conversations LLC (“Coffee Conversations”), we are committed to protecting the privacy and confidentiality of our clients' personal information. This Privacy Policy outlines the types of information we collect, how we use and protect it, and the choices you have regarding your personal data.

1.1 Personal Information: We may collect personal information, such as your name, contact details, and other relevant information, when you voluntarily provide it to us during the process of signing up for our services, completing forms, or engaging with our website or communication channels [inclusive of off-site social media activity].

1.2 Usage Data: On behalf of Coffee Conversations, technology and marketing “partners,” inclusive but not limited to: Wix, Stripe, Calendly, Google may automatically collect non-personal information about your interaction with our website, such as your IP address, browser type, referring website, pages viewed, and the dates and times of your visits. This data helps Coffee Conversations, and our partners, analyze trends, administer the site, and improve user experience.

1.3 Communication: We may use your personal information to communicate with you, respond to inquiries, provide consulting and/or coaching services, and keep you informed about relevant updates, promotions, and events. You have the right to opt-out of receiving such communications at any time by contacting us at selconnell@coffeeconversations.buzz.

If you are a parent or guardian and believe that your child has provided us with personal information, please contact us, and we will promptly delete such information.

Liability Release Statement

By participating in the no-cost or purchased consulting and/or coaching services provided by Coffee Conversations, I acknowledge and agree to the following:

Assumption of Risk: I understand that consulting and/or coaching involves personal development and introspective activities that may bring about emotional, psychological, or physical changes. I acknowledge that there are inherent risks associated with these activities and that I voluntarily assume all risks and responsibility for any potential outcome.

Release of Liability: By participating, I hereby release, discharge, and hold harmless Coffee Conversations (“Coffee Conversations LLC”), its employees, agents, and representatives from any and all claims, liabilities, demands, actions, or causes of action, whether at law or in equity, arising out of or in connection with my participation in the consulting and/or coaching services or any activities related thereto. This includes, but is not limited to, any direct or indirect damages, losses, injuries, or expenses incurred by me as a result of my participation.

Personal Responsibility: I acknowledge that the success of consulting and/or coaching depends on my active participation, commitment, and willingness to take responsibility for my own choices, actions, and results. I understand that the Coffee Conversations representative will provide guidance and support but cannot and will not guarantee specific outcomes or results.

​

Confidentiality: I understand that the consulting and/or coaching relationship is confidential, and the Coffee Conversations Founder or representative will keep all personal information shared during consulting and/or coaching sessions confidential unless required by law or with my expressed permission. However, I acknowledge that confidentiality does not apply to situations where there is a risk of harm to myself or others.

Professional Advice: I understand that the consulting and/or coaching services provided by Coffee Conversations are not a substitute for professional advice. Professional advice refers to medical, psychological, or legal advice. I acknowledge that it is my responsibility to seek appropriate professional assistance regarding any specific concerns or issues that may arise during consulting and/or coaching.

Compliance with Laws: I agree to comply with all applicable laws, rules, and regulations during my participation in the consulting and/or coaching services. I will not engage in any illegal or unethical activities that may compromise the integrity of the consulting and/or coaching process or bring harm to myself, the Founder, partners of Coffee Conversations or others.

​

Severability: If any provision of this liability release statement is found to be invalid, illegal, or unenforceable, the remaining provisions shall continue in full force and effect.

By participating in the consulting and/or coaching services provided by Coffee Conversations, I agree with this liability release statement and voluntarily agree to its terms and conditions.
 

Refund & Cancellation Policy

At Coffee Conversations LLC (“Coffee Conversations”), we strive to provide exceptional consulting and/or coaching services and support. 

​

Cancellation of Services:
1.1 Client Initiated Cancellations: If you wish to cancel your services, please notify us in writing or by email as soon as possible. Any prepaid sessions or fees will be credited, but not refunded unless given 48 hours notice in writing -- see below. No show will result in no credit, nor refund.

1.2 Coffee Conversations Initiated Cancellations: In the rare event that the Representative needs to cancel or reschedule a session or does not show, we will make every effort to provide reasonable notice and offer alternative options. If a session cannot be rescheduled in the short-term, it will be credited to future sessions, or refunded upon request.

​

Refunds:
2.1 Individual Services: If you have purchased an up-front program (total cost paid before session pack and/or program begins), and after the first session, you are unsatisfied and wish to discontinue further sessions, we will refund the fee paid for the remaining sessions, subject to the conditions below:

​

a. Refund Request: You must submit a refund request in writing or by email within 48 hours after the session (does not matter on type of session).
b. Review & Feedback: We will review your case for approval. We may ask for feedback to understand the reason for your dissatisfaction and improve our services. 
c. Session Fees: The fee for the first consulting and/or coaching session will be retained, as it covers the time and resources dedicated to the initial session.

d. Timeline: The refund request must be within 48hrs of a session and/or 90 days of original payment of program or package, whichever timeframe is more beneficial to the person requesting a refund.
 

2.2 By-Session Payment Terms: We do not offer refunds for by-session payment methods.​

Non-Refundable Fees:
Certain fees or charges may be non-refundable. These may include administrative fees, materials, assessments, or third-party costs incurred on your behalf. We do not offer refunds for by-session payments, or for programs/packages that are over the 90-day threshold. 

​

Process for Refunds:
Refunds will be issued using the original method of payment. Please allow a reasonable processing time for refunds to be completed.

​

Modifications to Services:
We reserve the right to modify, suspend, or discontinue any consulting and/or coaching services or programs at our sole discretion. In such cases, we will provide reasonable notice and, if applicable, offer alternative options or refunds for any prepaid services that will not be provided.

​

Changes to the Refund and Cancellation Policy:
We reserve the right to modify this refund and cancellation policy at any time. Any updates or changes will be effective immediately upon posting on our website. We encourage you to review this policy periodically for any updates.

 

Intellectual Property Policy

Ownership of Intellectual Property:
1.1. Logo Design: The AI-generated logo created for Coffee Conversations LLC (“Coffee Conversations”)  is the exclusive property of Coffee Conversations. The logo is protected by intellectual property laws, including copyright and trademark laws. Coffee Conversations retains all rights, title, and interest in the logo.

1.2. Business Materials: All written content, graphics, images, audiovisual materials, software, and other materials created by or on behalf of Coffee Conversations are considered intellectual property and are protected by applicable laws.

Use of the AI-Generated Logo:
2.1. Authorized Use: The AI-generated logo may only be used by Coffee Conversations for the purposes of branding, marketing, and promoting its products or services. This includes usage on company websites, social media accounts, marketing materials, and official communications.

2.2. Prohibited Use: Unauthorized use of the AI-generated logo is strictly prohibited. This includes but is not limited to using the logo for personal or commercial purposes without express permission from Coffee Conversations. Any alteration, modification, or replication of the logo is also prohibited.

Protection of Intellectual Property:
3.1. Copyright Notice: The AI-generated logo and other original content created by Coffee Conversations may or may not be marked with the appropriate copyright notice (e.g., © 2023 Coffee Conversations LLC. All rights reserved.) to assert ownership and provide notice to others. Copyright is held even without terms outlined on image/logo.

3.2. Trademark Registration: Coffee Conversations may seek trademark registration for the AI-generated logo and any other distinctive marks associated with the business. This helps protect the brand identity and prevent unauthorized use by third parties.

Third-Party Intellectual Property:
4.1. Respect for Others' Intellectual Property: Coffee Conversations respects the intellectual property rights of others and expects its employees, contractors, and stakeholders to do the same. It is prohibited to use any third-party intellectual property without proper authorization or in violation of applicable laws.

4.2. Use of Licensed Content: When using licensed content, such as stock images or third-party software, Coffee Conversations will comply with the terms of the respective licenses and ensure proper attribution or usage rights as required.

Reporting Intellectual Property Infringement:
5.1. Reporting Procedure: If you believe that your intellectual property rights have been infringed upon by Coffee Conversations or its representatives, please notify us in writing, providing detailed information regarding the alleged infringement. We will promptly investigate the matter and take appropriate action in accordance with applicable laws.

This Intellectual Property Policy will be reviewed periodically and updated as necessary to reflect changes in the business, legal requirements, or best practices. Any updates or changes will be communicated to employees, contractors, and stakeholders to ensure awareness and compliance.

Anti-Discrimination and Harassment Policy

Coffee Conversations LLC (“Coffee Conversations”) is committed to providing a safe and inclusive environment for all employees, clients, contractors, and stakeholders. We strictly prohibit discrimination, harassment, and any form of misconduct based on protected characteristics. This policy outlines our commitment to fostering a respectful workplace and sets forth guidelines for appropriate behavior.

Scope of Policy:
This policy applies to all individuals associated with Coffee Conversations, including but not limited to employees, clients, contractors, vendors, and visitors. It covers all aspects of the working relationship, including employment, recruitment, promotion, training, client interactions, and other business activities.

Prohibited Conduct:
Discrimination and harassment in any form are strictly prohibited. This includes, but is not limited to, actions, comments, or behavior that is based on an individual's race, color, ethnicity, religion, gender, sexual orientation, age, disability, national origin, or any other protected characteristic as defined by applicable laws.

Examples of prohibited conduct include:

2.1 Discrimination: Treating individuals unfairly or differently based on protected characteristics in any employment-related decision, such as hiring, promotion, compensation, or assignments.

2.2 Harassment: Unwelcome behavior that creates an intimidating, hostile, or offensive working environment. This can include verbal, written, or physical conduct, such as derogatory comments, slurs, jokes, gestures, or unwanted advances.

Reporting and Complaint Procedure:
We encourage individuals who experience or witness any form of discrimination, harassment, or misconduct to promptly report it. Reports should be made to selconnell@coffeeconversations.buzz using the designated reporting channels, which may include in-person, email, or anonymous reporting options. All reports will be treated confidentially to the extent possible, considering the need to investigate and take appropriate action.

All reports of discrimination, harassment, or misconduct will be promptly and thoroughly investigated. Investigations will be conducted in a fair and impartial manner, ensuring due process for all parties involved. Retaliation Prohibition:
Retaliation against individuals who make good-faith reports or cooperate in investigations is strictly prohibited. We will take all necessary steps to prevent retaliation and will take appropriate action against anyone found to be engaging in retaliatory behavior.
